The HR audit log (HR 監査ログ) records, in time order, who did what in the HR portal. Employee invitations, profile changes, adding people to and removing them from departments: every HR action is kept, so you can use the log as an audit trail. Instead of arguing over who said what, you get a plain list of facts.
- Filter the history by type of action
- Pull out only the actions that concern a particular employee
- Combine an action filter with a target-person filter
- Work out why an entry you expected isn't there
Opening the audit log
Click Audit log (監査ログ) in the left sidebar. The URL is /en-US/{organization ID}/hr/audit.
If the page is headed HR audit log (HR 監査ログ) and says you can review the history of HR actions such as employee invitations, profile changes and department additions or removals, you're on the right screen.
What's on the screen
- Action (アクション, drop-down): the form submits as soon as you pick an option
- Target user ID (対象ユーザー ID (AspNetUsers.Id)): paste an ID here when you only want one user's history
- The black Filter (フィルター) button and, while a filter is applied, a white clear button
- Employee invited (社員を招待, EmployeeInvited)
- Employees bulk-invited (社員を一括招待, EmployeeInvitedBulk)
- Profile edited (プロフィール編集, EmployeeProfileEdited)
- Employee removed (社員を削除, EmployeeDeactivated)
- Photo updated (画像を更新, EmployeeImageUpdated)
- Added to department (部署に追加, DepartmentMemberAdded)
- Removed from department (部署から削除, DepartmentMemberRemoved)
Changes to certificate branding are also logged. They appear as BrandingUpdated with a gray badge and aren't in the Action list, so to find them, show all entries.
- Date and time (UTC) (日時 (UTC)): yyyy-MM-dd HH:mm:ss, in UTC
- Action (アクション): a colored badge; the color depends on the kind of action (green for invitations, red for removals, light blue for profile and photo changes, blue for department changes)
- Performed by (操作者): the name of the HR user who made the change
- Target (対象者): the name of the employee affected (links to their employee details)
- Summary (概要): a short description of what was done
Above the table you'll see the number of entries that match the current filters (全 N 件, "N in total"). The table shows 100 entries per page; when there are more, page links appear at the bottom: Previous (前へ), page numbers, and Next (次へ).
Common tasks
- Choose the action you want to see from the Action (アクション) drop-down.
- The form submits the moment you choose, and the table is filtered.
- To remove the filter, choose All (すべて), or click the button on the right to clear every filter.
- Open the employee's details page and copy the user ID (a GUID) from the end of the URL (for example
3fa85f64-...). - Paste it into the Target user ID (対象ユーザー ID (AspNetUsers.Id)) field in the audit log.
- Click the black Filter (フィルター) button.
- Every action taken on that user is listed in time order.
Note: department additions and removals aren't currently linked to a target user, so they don't show up in this filter. Filter by Action instead to find them.
- Example: you want to know how many times Ms. Yamada's profile has been edited since she was invited.
- Set Action (アクション) to Profile edited (プロフィール編集) and Target user ID (対象ユーザー ID (AspNetUsers.Id)) to Ms. Yamada's ID, both at once.
- Click Filter (フィルター) to list only the matching entries.
- The name in the Target (対象者) cell of the table is a link.
- Click it to open that employee's details page, so you can compare their current profile with the history.
When to use it
Looking back at past events, such as "Whose department changed around March?"
Telling apart "Did HR really remove this employee, or was it a system fault?"
How many people a CSV bulk invite registered, and who ran it.
Exporting to Excel as evidence of administrative actions for your annual audit. (For now the log can only be viewed on screen; Excel export is planned.)
Troubleshooting
| Problem | Likely cause and fix |
|---|---|
| An action I expected isn't in the log | Reapply your filters, or choose All (すべて) to show every entry. Times are recorded in UTC, so they differ from your local time (Japan time is UTC + 9 hours). If you filtered by Target user ID, remember that department additions and removals aren't linked to a target user. |
| The Target column shows "—" | The entry isn't linked to a specific user. This happens for organization-level actions, such as a change to certificate branding, and currently also for department additions and removals; check the Summary (概要) column for details. |
| Clicking a target's name shows an error | That employee may have been removed from the organization. The history stays, but their details page can no longer be shown. |
| Older entries don't appear | Page through to the last page. Some organizations may also have a retention period set. |
| I want to export the audit log to Excel or CSV | For now it can only be viewed on screen. To keep an archive, use your browser's Print and save as PDF. |
