Creating and Managing Departments – HR Guide

Departments are the unit the organization's analysis and totals are organized around. The dashboard and ROI figures assume your departments are set up correctly and that people belong to the right ones. Put the other way round: if this part is vague, every number you look at later will be vague too. This guide walks through creating and editing departments and managing their members, screen by screen.

Opening the department list

Click Departments (部署一覧) in the left sidebar. The URL is /en-US/{organization ID}/hr/departments.

If the line under the page title says you can see the organization's top-level departments at a glance, along with how AI-assisted learning and the RAG agent are being used in each, you're on the right screen.

What's on the screen

Header
  • Left: the Departments (部署一覧) title
  • Right: the black Create department (新規部署を作成) button
Search box

A text box with the placeholder "Search by department name…" (部署名で検索…). As you type, the cards on the page are filtered instantly. The page doesn't reload, so feel free to try it.

Department cards (four-column grid)

Only top-level departments are shown here (you reach sub-departments from each department's details page). Each card shows:

  • A building icon and the department name
  • Members N / Sub-departments M (メンバー N 名 / 子部署 M)
  • Average learning progress (平均学習進捗) as a percentage, with a progress bar (green ≥70%, blue ≥40%, yellow <40%)
  • Completed (完了者) / number of members
  • Average test score (平均テストスコア)
  • A white View details (詳細を見る) button

The figures on these cards are grouped by the Department text on each employee's profile (for example, the department column of a CSV import), matched exactly against the department name. They are not based on the members you add on the department's details page, so a card can show different numbers from that page.

The department details page

In the department list, click View details (詳細を見る) on the department's card. The URL is /en-US/{organization ID}/hr/departments/{department ID}.

Department dashboard (部署ダッシュボード, four KPI cards)
  • Members (所属メンバー): the number of members directly in this department
  • Average learning progress (平均学習進捗): the average progress of the department's members
  • Completed (完了者): how many have completed their paths
  • Last activity (最終受講日): when any member last completed a lesson (Today (本日) / N days ago (N 日前) / —)
Department information (部署情報)
  • Description (説明): the department's role or a summary
  • Status (状態): Active (有効) or Inactive (無効)
  • Parent department (上位部署): a link, if there is one
  • The black Edit (編集) button
Sub-departments (子部署, only if there are any)

Cards for the departments that have this one as their parent. Open any of them with View details (詳細を見る).

Members (所属メンバー)
  • Top right: the black Add member (メンバーを追加) button
  • Each member's avatar, name and email, with a × (remove) button in the top-right corner
  • A white View details (詳細を見る) button at the bottom of each card (opens the employee's details)

Common tasks

  1. Click Create department (新規部署を作成) at the top right of the department list.
  2. The new department form opens.
  3. Fill in the following:
    • Department name (部署名, required): for example "Sales", "Engineering" or "Accounting"
    • Description (説明, optional): the department's role or a summary
    • Parent department (上位部署): choose "(Top-level department)" ((トップレベル部署)) or an existing department. This is how you build a nested structure.
    • Display order (表示順序): lower numbers are shown higher up
    • Valid from / Valid until (有効開始日 / 有効終了日): set these if the department only exists for a limited time
    • Department status (部署の状態): the "Active (currently in use)" (有効(現在利用中)) switch. Leave it on for a new department.
  4. Click Create (作成する) to save and return to the department list.
You can change the name and description as often as you like later. The quickest way to start is to copy your actual org chart and use the names as they are.

  1. Open the department's details page.
  2. Click the black Edit (編集) button in the Department information (部署情報) block.
  3. Change the name, description, parent department, display order, valid dates or active status, then click Save (保存する).

  1. On the department's details page, click Add member (メンバーを追加) at the top right of the Members (所属メンバー) section.
  2. A pop-up lists everyone in the organization who isn't in this department yet.
  3. Find the person you want and click the blue Add (追加) button on the right of their row.
  4. They become a member of this department.

  1. Click the red × button in the top-right corner of the member's card.
  2. When the browser asks you to confirm the removal, click "OK".
  3. The member leaves the department but stays in the organization.
To remove someone from the organization itself, you need to do that from Employees (社員一覧). Taking them out of a department doesn't stop them being a member of the organization.

  1. On the department's details page, open Edit (編集).
  2. Turn off the Department status (部署の状態) switch.
  3. Save. The department now shows the Inactive (無効) badge on its details page. You can turn it back on at any time.
For departments that disappear in a reorganization, mark them inactive rather than trying to remove them; the screens have no delete button for departments. Note that, for now, an inactive department is only labeled as such: it still appears in the department list and in the parent-department and filter drop-downs, and its figures are still counted, even though the hint under the switch says otherwise.

Using parent and child departments

  • Departments can be nested. Any existing department can be chosen as a parent, so you can go more than two levels deep if your org chart needs it.
  • To create a sub-department, choose its parent in the Parent department (上位部署) drop-down when you create it.
  • Only top-level departments appear in the department list. Open a sub-department from the Sub-departments (子部署) section of its parent's details page.
  • When changing a parent, don't pick one of the department's own sub-departments. The two would point at each other, and neither would be reachable from the department list.

Troubleshooting

Problem Likely cause and what to do
A department I just created doesn't appear in the list If you chose a parent department when you created it, it's treated as a sub-department. You'll find it in the Sub-departments (子部署) block on the parent's details page. To make it top-level, change Parent department (上位部署) to "(Top-level department)" ((トップレベル部署)).
All the KPIs on a department card are 0 The cards in the department list count employees whose profile Department (部署) text exactly matches the department name. If nobody's profile matches (check spelling and spaces), the card shows 0, even if you've added members on the details page. The KPIs on the details page are based on the members added there; if those are 0 too, add people with Add member (メンバーを追加).
Someone doesn't appear in the Add member list Either they're already in this department, or they aren't (or are no longer) a member of the organization. Invite them from Employees (社員一覧) first.
Nothing happens when I click the remove button You may have clicked "Cancel" in the confirmation dialog. Click × again and choose "OK".
I want to get rid of a department completely There's no delete button for departments. Instead, open Edit (編集) and turn off the active switch. This keeps past membership records. For now, an inactive department is still listed and still counted, so you may want to rename it (for example, add "(closed)") to make its status obvious.
