Exporting Reports and Sending Them Monthly – HR Guide

The Reports (レポート出力) page is where you export your organization's learning data as CSV, Excel or PDF to share with executives and department managers. Set up a monthly delivery schedule and you no longer need to open this page every time a report is due.

Opening Reports

Click Reports (レポート出力) in the left sidebar. The URL is /en-US/{organization ID}/hr/reports.

If the top of the page says you can download your organization's learning data as CSV, Excel or PDF, and that the CSV files are UTF-8 with a BOM so Excel shows Japanese text correctly, you're on the right screen.

Reports are part of the Pro plan. If your organization isn't on Pro, opening this page takes you to the billing page instead.

What's on the screen

The report cards

Four cards run across the top of the page. Three of them are the reports this guide covers, and each can be downloaded in three formats: Excel, PDF and CSV.

Organization-wide report (全社レポート)

One row per employee: progress rate, lessons completed, average test score and status.

Department report (部署別レポート)

A roll-up by department: headcount, average progress, number of employees who have completed, and average score.

Test score history (テストスコア履歴)

Every submitted learning path test result: date taken, name, department, test, score and pass/fail.

The fourth card, Mandatory training compliance (必須研修 遵守状況), comes first on the page. It has a View on screen (画面で確認する) button plus its own Excel, PDF and CSV buttons.

The buttons on each of the three report cards:

  • Black Export to Excel (Excel で出力) – the one we recommend
  • White Export to PDF (PDF で出力)
  • Light gray CSV

Monthly report delivery (bottom of the page)

Below the divider, under Monthly report delivery (月次レポートの自動配信), is where you set up monthly delivery rules.

  • Left: the Add a new delivery rule (新しい配信ルールを追加) form
  • Right: the Saved delivery rules (登録済みの配信ルール) table

Common tasks

  1. Pick the card for the report you need: Organization-wide report (全社レポート), Department report (部署別レポート) or Test score history (テストスコア履歴).
  2. Click the button for the format you want.
    • Excel: handy for management reporting and for analysis where you'll rework the data
    • PDF: a formatted report you can hand out as is
    • CSV: for loading into BI tools or spreadsheets; UTF-8 with a BOM, so the text won't come out garbled
  3. The file downloads through your browser as usual.

Set it up once and your monthly reporting chore disappears. The real value is that the report arrives every month without anyone having to remember.

  1. Go to the Add a new delivery rule (新しい配信ルールを追加) form.
  2. Fill in the following:
    • Report type (レポートの種類): Organization-wide report, Department report or Test score history
    • Delivery day (monthly) (配信日(毎月)): any day from 1 to 28 (29 and later aren't offered, so the report goes out reliably even in short months)
    • Recipient email addresses (配信先メールアドレス): add several by separating them with commas or line breaks (for example hr-team@example.com, cfo@example.com)
  3. Click the black Save delivery rule (配信ルールを保存) button.
  4. The rule appears in the Saved delivery rules (登録済みの配信ルール) table on the right.

Only HR users with HR (full access) (HR(フルアクセス)) can save or delete delivery rules. HR (view only) (HR(閲覧のみ)) users can download reports but get an access error if they try to change a rule.

The Report type list also offers Mandatory training compliance, but a rule for that report can't be saved at the moment: you'll see an "invalid report type" error (レポートの種類が不正です。). Download that report from its card instead.

Every day at 09:00 UTC, an Azure Function checks the schedules, and on each rule's delivery day it sends an email with the report attached as a CSV file.

  1. In the Saved delivery rules (登録済みの配信ルール) table, click the delete button at the right end of the row you no longer need.
  2. When your browser asks whether to delete this delivery rule, click OK and the rule is removed.

  1. Look at the Last sent (最終配信) column in the Saved delivery rules (登録済みの配信ルール) table.
  2. If it shows a date, the report was sent out on that day. If it shows "—", the rule hasn't run yet, or its delivery day is still to come.

Choosing a report format

Format Best for Things to know
Excel Reports for executives and management, further analysis Needs Microsoft 365 / Excel or a compatible app
PDF Printing or handing out as is, audit records Can't be edited
CSV Importing into BI tools, Google Sheets and the like UTF-8 with a BOM (text isn't garbled even when you open it straight in Excel)

Troubleshooting

Problem Likely cause and fix
Nothing happens when I click a download button Your browser's pop-up blocker may be the cause. Add the site to the allowed list, or check your browser's download history.
The CSV looks garbled when I open it in Excel Manabu2 CSV files are UTF-8 with a BOM, so Excel 2016 and later can open them directly. If you open the file in an older version of Excel, or save it through a text editor first, the BOM can get lost.
The scheduled email doesn't arrive The usual cause is the recipient's spam filter or a company email gateway blocking it. Ask your IT team to allow the sender address. If Last sent (最終配信) shows a date, Manabu2 sent the report out that day. The date is recorded even if delivery to one of the addresses failed, so if only one person is missing the email, check that address too.
I want delivery on the 29th or later You can only choose days 1 to 28, so the report goes out reliably in every month, including short ones. If you want it at the end of the month, choose the 28th.
Japanese text doesn't show in the PDF By default, a font that supports Japanese is embedded. If the text still doesn't show, try opening the file in a dedicated PDF viewer (such as Adobe Acrobat) instead of your browser.
Cells are out of line in the Excel report The xlsx file doesn't shift cells. If you opened the CSV straight in Excel, fields that contain commas can shift; in that case, use the Excel format instead.
