Managing Projects – Consultant Guide

The project list is where you manage your client companies' AI adoption projects from the consultant's side. You track each project's phase and progress, and record its goals, deliverables and the people working on it as you go. What you enter here also feeds the Executive totals, so keeping it up to date directly improves the quality of your reporting.

Opening your project list

Click Projects (プロジェクト) in the left sidebar. The URL is /en-US/Consultant/Projects.

If the line under the page title says you can see the AI adoption projects of the companies you're responsible for, you're on the right screen.

What's on the screen

Header
  • Left: the My projects (担当プロジェクト一覧) title
  • Right: the blue Create (新規作成) button
Project cards (3-column grid)
  • Phase badge (top left)
  • Organization name (top right)
  • Project name (large)
  • Labels (tags): e.g. RAG
  • Progress: "Progress: XX%" (進捗:XX%) plus a progress bar
  • The white View details (詳細を見る) button

The six phase badges

A project moves through the following six phases. The badge color in the top-left corner of each card tells you at a glance where that company currently stands.

Preparing (準備中)

Preparation — before kickoff, while stakeholders are being lined up.

Defining requirements (要件定義中)

RequirementsDefinition — interviews to pin down business and technical requirements.

PoC

A small-scale proof of concept to test the hypothesis.

Deployment (導入フェーズ)

Deployment — building the production environment and rolling out in stages.

Final validation (最終検証)

FinalValidation — operational testing and confirming the KPIs were met.

Completed (完了)

Completed — handed over to operations; the engagement is closed.

If you don't have any projects yet, the page tells you there are no projects and suggests registering your first one with Create (新規作成).

Opening a project's details

Click the View details (詳細を見る) button on a card. The URL is /en-US/Consultant/Projects/{project ID}.

On the left of the details page, Project information (プロジェクト情報) shows the phase, progress, labels, creation date, background (課題・背景) and goals/deliverables (目標・成果物). On the right you can add project members (members of the workspace, entered by email address) and see or remove them. The ROI values aren't shown on this page, so check them on the edit screen. The Edit (編集) button at the top lets you update the same fields you filled in when creating the project, and the Delete (削除) button deletes the project.

Common tasks

  1. Click the blue Create (新規作成) button at the top right of the list.
  2. The project form opens. Fill in the following:
    • Workspace (ワークスペース): pick one of your client companies (required)
    • Project name (プロジェクト名) (required)
    • Background (課題・背景) / Goals and deliverables (目標・成果物): the problem being tackled and a summary of what the project should achieve
    • Phase (フェーズ): choose one of the six phases, from Preparing to Completed
    • Progress (進捗(0〜100%)): a whole number from 0 to 100 (you can change it as often as you like later)
    • Labels (ラベル(任意)): optional tags such as "RAG", "Image generation" or "Internal chatbot", separated by commas
    • ROI (optional) (投資対効果(任意)): consulting fee (コンサル費用), estimated hours per member (メンバー1人あたり 見込み時間) and expected value (見込み成果金額); these feed the Executive ROI calculation
  3. Click Create (作成する) and a new card appears in the project list.
You can change the progress as many times as you like, so there's no need to start with a precise figure.

  1. On the project's card, click View details (詳細を見る), then Edit (編集).
  2. Change the Phase (フェーズ) dropdown to the next phase (for example Preparing → Defining requirements → PoC → Deployment → Final validation → Completed).
  3. Save, and the badge color on the card in the list changes.

  1. On the project's edit screen, set the progress to a value from 0 to 100.
  2. Save, and the progress bar color changes to match the new value (green ≥80%, blue ≥50%, yellow ≥25%, gray <25%).
  3. The change is also reflected in the status shown on the Executive dashboard and the AI project management screen (AIプロジェクト管理).

If you keep this up to date, you won't need to collect the numbers again when it's time to report to management.

  1. When you change the phase to Completed (完了), the project no longer counts toward the number of active projects.
  2. Its badge becomes Completed (完了), and it stays in the list as a record.

  1. On the edit screen, under ROI (optional) (投資対効果(任意)), enter the consulting fee (コンサル費用), estimated hours per member (メンバー1人あたり 見込み時間) and expected value (見込み成果金額).
  2. These are totaled on the Executive dashboard's annual ROI card (投資対効果(年間)). Labor cost is calculated as estimated hours × each project member's hourly rate (or the organization's average hourly rate if a member has none), so add the project members too.
Note: If any project has all three of these fields blank, the Executive side shows a warning that N projects have no ROI input. Management sees this, so it's best to fill them in early.

  1. Add labels to a project (for example "RAG", "Speech recognition", "Image generation").
  2. This makes it easier to see projects on the same theme side by side. Labels only appear on the consultant's project list and details page; they aren't shown or used in any Executive screen or total.

Choosing the right phase

Defining requirements (要件定義中)Interviews on business and technical requirements

Final validation (最終検証)Operational testing, confirming the KPIs were met
Completed (完了)Handed over to operations, engagement closed

Troubleshooting

Symptom Likely cause and what to do
The company isn't in the workspace dropdown Only organizations you created yourself on the client companies page are listed (including ones still waiting for approval). If the company isn't there, create the organization on the client companies page first.
The progress bar doesn't change Change the progress value on the edit screen and save again. The color only changes when the value crosses 25, 50 or 80.
Changing the phase changes the Executive totals That's expected. Setting a project to Completed removes it from the active projects; every other phase counts as active.
I entered ROI values but they don't show up on the Executive side ROI totals every project in the organization, whatever its phase. Labor cost is estimated hours × each project member's hourly rate (or the organization's average hourly rate), so it's 0 if the project has no members or no rate is set. Check the subscription fee and average hourly rate in the organization settings as well.
A project appears in the Executive AI project management screen but can't be edited there That's expected. Executives can only view projects; editing is done here, on the consultant side.
